Working Hours: Monday–Friday – requires some flexibility and some Saturday working

Role Overview:

We are seeking a proactive and organised Medical Administrator to join our growing team. This is a key role responsible for ensuring the smooth day-to-day administrative operations of the clinic, supporting both clinical staff and clients.

This is not your typical front desk role. As the first point of contact for our high-profile clientele, you will be the face and heartbeat of NADclinic – responsible for creating a seamless and luxurious experience from start to finish.

The ideal candidate will be friendly, detail-oriented, and experienced in medical administration or private healthcare settings and will demonstrate excellent attention to detail.  Applicants must be able to multi-task, speak fluent English, competently use Microsoft Outlook/Word and have a fantastic phone manner.


Job responsibilities will include:

  • Provide administrative support to the Clinic medical team


·    Welcome and engage clients with warmth, professionalism, and genuine care

  • Manage enquiries from Clients, answering the telephone, dealing with bookings for consultations and treatments. Maintain accurate and confidential client records and databases

·     Manage concierge requests and VIP outcall appointments with precision

·     Ensure the front of house area is immaculate, calm, and reflects our premium brand and support clients with information on treatments, wellness packages, and protocols

  • Liaise with clients in a professional and friendly manner, both in-person and via phone/email
  • Prepare clinic booking lists and ensure efficient service delivery to Clients
  • Process payments taken in clinic
  • Support the coordination of diagnostic testing, referrals, and results tracking
  • Assist with ordering and managing stock of medical supplies and wellness products
  • Assist in ensuring the compliance with CQC standards and data protection regulations
  • Contribute to a smooth, high-quality client experience from first contact through ongoing care


Requirements:

  • Previous experience in a medical or private healthcare administrative role
  • Strong organisational and multitasking skills

·     A natural people person – you genuinely love interacting with clients

  • Excellent communication and interpersonal skills
  • Proficient in Microsoft Office and clinic management software
  • Ability to handle sensitive information with confidentiality and professionalism
  • A positive, team-oriented attitude and a genuine interest in wellness and client care
